Sharing Files, Documents & Credentials Securely
During your project, our team may need access to files, documentation, or login credentials. This article explains the correct and secure way to share this information with Progressive Robot.
Sharing Documents & Files
You can share files with us in any of the following ways:
- Via this portal: When viewing your project, use the Files or Documents tab to upload assets directly to your project record
- Via email: For smaller files (under 10MB) email to your Project Manager or [email protected]
- Via cloud storage: Share a folder link (Google Drive, SharePoint, Dropbox) with your Project Manager — ensure the link has the appropriate permissions (view or edit, as required)
Sharing Login Credentials
Never share passwords in plain text — not by email, chat, or any unencrypted means.
When we need access to your systems (e.g. hosting control panel, CMS admin, cloud console, domain registrar), use one of these secure methods:
- One-time secret link: Your Project Manager will send you a secure, self-destructing link via onetimesecret.com. Paste the credential into the link and share only the URL
- Create a temporary account: Where possible, create a dedicated temporary account for our team with the minimum permissions required. Revoke access once the work is complete
- Password manager share: If your company uses a business password manager (e.g. 1Password, Bitwarden), you can use the built-in secure share feature
What Access We Will Never Ask For
- Your personal email password
- Your online banking credentials
- Passwords to personal accounts unrelated to the project
If someone claiming to be from Progressive Robot asks for this information, please contact us immediately to verify at [email protected].
Revoking Access After Project Completion
Once your project is signed off, please remove any temporary accounts created for our team. Your Project Manager will remind you of this as part of the handover checklist. If we created any service accounts on your behalf, these will be documented in the handover pack.
