Handling Out-of-Office and Coverage

Handling Out-of-Office and Coverage

When a key team member is away, content and enquiries should not grind to a halt. A little planning ensures nothing is missed and customers still get a timely response.

This guide covers setting up cover, redirecting responsibilities and using out-of-office messages so absences run smoothly.

Planning Cover

Decide who picks up which duties before someone goes away, not after. A short handover note prevents confusion.

  • Name a deputy for each critical task.
  • Confirm they have the access they need.
  • Write a brief handover of anything in progress.
  • Share key contacts and deadlines.

Setting Expectations

Clear messaging manages everyone's expectations and stops enquiries going unanswered.

  1. Set an out-of-office reply with an alternative contact.
  2. Redirect shared inboxes to the covering colleague.
  3. Update any “currently editing” ownership.
  4. Catch up on what happened on return.

Planning Around Busy Periods

Some absences matter more than others. Knowing your quieter and busier times lets you schedule cover where it counts.

  • Avoid leaving a campaign launch uncovered.
  • Schedule routine content in advance before leave.
  • Flag any deadlines that fall during the absence.
  • Keep one named point of contact for emergencies.
