Handling Form Submissions and Enquiries

Handling Form Submissions and Enquiries

Contact forms, quote requests and sign-ups are often where real business begins, so handling them promptly and tidily matters. Knowing where submissions land and how to respond keeps no enquiry slipping through the cracks.

This article explains where to find form entries, how to reply professionally, and how to keep on top of your inbox without missing a lead.

Where Submissions Go

Depending on your setup, form entries may be emailed to you, stored in the admin panel, or both. We will confirm your configuration during handover.

  • Email: a copy lands in a nominated inbox the moment someone submits.
  • Admin store: a searchable list inside your dashboard as a backup.
  • CRM: on some sites, leads flow straight into your sales system.

Responding Well

A quick, clear reply makes a strong first impression. Agree internally on who owns enquiries so nothing is missed.

  1. Acknowledge new enquiries within one business day.
  2. Check the spam folder daily in case a reply was filtered.
  3. Record the outcome so colleagues can see progress.
  4. Tell us promptly if submissions stop arriving.

Frequently Asked Questions

Enquiries have stopped coming through — what should I check?

First check the spam folder and the admin store. If entries appear there but not by email, the delivery may have broken — raise a ticket and we will investigate.

If you need a hand with any of this, your Progressive Robot delivery team is ready to help. Raise a ticket from the Support area of your client portal or speak to your account manager and we will guide you through the next steps.
