Client Responsibilities: What We Need From You

A successful project is a collaboration. While Progressive Robot handles the technical delivery, your active participation is essential. This article outlines the key things we need from you throughout the engagement.

At the Start

  • Clear requirements: Invest time in articulating what you need before and during kickoff
  • Access and credentials: Provide access to existing systems, hosting, domains, and third-party services promptly
  • Named contacts: Identify your Project Lead, Finance Contact, Technical Contact, and Project Sponsor before kickoff
  • Signed documents: Return signed contracts and SoWs promptly — work cannot begin without them
  • Deposit payment: Pay the deposit invoice promptly — it triggers project mobilisation

During the Project

  • Timely feedback: Respond to requests for feedback within the agreed timeframes
  • Attend scheduled meetings: Sprint reviews, status meetings, and milestone reviews require your participation
  • Provide content: If your project requires copy, images, or data from you — provide it on the agreed schedule
  • Make decisions: When we bring a design decision or technical choice to you, respond promptly
  • Pay invoices on time: Invoices paid late can slow project progress

At the End

  • UAT: Dedicate appropriate time and the right team members to testing before sign-off
  • Final sign-off: Provide written sign-off in a timely manner
  • Credential handover receipt: Acknowledge receipt of credentials we provide

Why This Matters

Client-side delays are the most common cause of project overruns. When we cannot get what we need from you, engineers wait, timelines slip, and costs increase. We understand you are busy — but the more proactively you engage, the better the outcome for everyone.
