Time & Materials Billing Explained

Time & Materials Billing Explained

Time and Materials (T&M) is a billing model where you pay for the actual time spent on your project plus any materials or third-party costs incurred. It is the most flexible billing model, though it requires active budget management on your side.

How T&M Billing Works

  • We record time against your project using our internal time-tracking system
  • At the agreed billing interval (weekly, fortnightly, or monthly), we invoice the hours logged at the agreed rate
  • Materials costs (hosting, licences, third-party services purchased on your behalf) are passed through at cost, itemised separately on your invoice

Day Rates & Hourly Rates

Our rates are specified in your contract or Statement of Work. Rates vary by role:

  • Senior Engineer / Architect
  • Mid-level Engineer / Developer
  • Project Manager
  • UX/UI Designer
  • QA Engineer
  • Consultancy / Account Management

All rates are quoted exclusive of VAT.

Budget Monitoring

On T&M projects, your Project Manager will provide weekly budget burn updates so you always know where you stand against your estimated budget. If burn is running ahead of estimates, we flag this early — you are never surprised by an invoice.

T&M vs. Fixed Price

T&M is ideal when requirements are likely to evolve or are not fully defined. Fixed price is better when requirements are clear and stable and you need budget certainty. We will advise the best model for your situation at proposal stage.

Timesheet Access

You may request access to our time logs at any time to review what has been worked on. Timesheets are a standard deliverable on T&M engagements and are available in the portal under your project.
