Invoices & Payments
Progressive Robot issues invoices electronically through this portal. You will receive an email notification each time a new invoice is raised. All invoices are also accessible at any time under Invoices in your portal (via the Sales menu if visible, or by clicking the invoice link in your email).
When Will I Be Invoiced?
The invoicing schedule depends on your contract type:
- Fixed-Price Projects: Typically invoiced in agreed stages — e.g. 30% on contract signing, 40% at a defined milestone, 30% on completion.
- Time & Materials: Invoiced monthly in arrears, based on hours worked and materials consumed in that period. A timesheet summary is included.
- Managed Services (MSA): Invoiced monthly in advance, on or around the 1st of each month.
- Ad Hoc / One-Off Work: Invoiced on completion unless otherwise agreed.
Payment Terms
Our standard payment terms are 14 days from the invoice date, unless your contract specifies otherwise. Payment terms are shown on every invoice.
How to Pay
We accept the following payment methods:
- Bank Transfer (BACS/Faster Payments): Our bank details are shown on every invoice. Please use your invoice number as the payment reference.
- Online Card Payment: Click the "Pay Now" button on the invoice in this portal or in your invoice email to pay by debit/credit card (Visa, Mastercard).
- Direct Debit: Available for Managed Services clients — please contact your account manager to set up a Direct Debit mandate.
Invoice Queries
If you believe there is an error on an invoice, please contact us within 7 days of receipt:

- Or raise a ticket via Support and categorise it as a Billing Query
Disputed invoices will be reviewed within 5 business days. Undisputed amounts remain payable by the original due date.
Late Payment
Invoices not paid by the due date may incur a late payment fee in accordance with the Late Payment of Commercial Debts Act 1998. Repeated late payment may result in work being paused until the account is brought up to date.
VAT
Progressive Robot is VAT registered. All invoices include UK VAT at the standard rate (currently 20%). A valid VAT invoice is provided for every transaction.
