Direct Debit & GoCardless Setup for Retainers

For clients on a monthly retainer, we offer Direct Debit collection via GoCardless. This simplifies payment, removes manual bank transfer effort, and ensures your support services are never interrupted by a missed payment.

How GoCardless Works

GoCardless is a regulated payment provider that collects Direct Debits on behalf of Progressive Robot. When you set up a mandate, GoCardless will collect the agreed monthly retainer amount from your nominated bank account on or around the same date each month.

Setting Up a Direct Debit Mandate

  1. Contact your Account Manager to request a Direct Debit setup link
  2. You will receive an email from GoCardless with a secure setup link
  3. Complete the mandate setup (takes approximately 3 minutes — you will need your sort code and account number)
  4. GoCardless will confirm the mandate has been established
  5. The first collection will occur on your next invoice due date (or as specified in your agreement)

Advance Notice

GoCardless notifies you by email 3 business days before each collection, confirming the amount and collection date. This gives you time to raise any queries before funds are collected.

Cancelling or Changing a Mandate

You can cancel your mandate at any time via your bank or by notifying us in writing. Note that cancellation does not cancel your retainer agreement — outstanding fees remain payable. If you wish to change your bank account details, contact your Account Manager and we will issue a new mandate setup link.

Failed Collections

If a collection fails (e.g. due to insufficient funds), GoCardless notifies us immediately. We will contact you to arrange an alternative payment. Repeated failed collections may affect your retainer service provision.
